We are currently seeking a reliable and detail-oriented Front Office Assistant to join our Santa Ana office. This role is crucial to creating a welcoming and organized front desk environment and ensuring smooth day-to-day operations.

Responsibilities

  • Greet and assist visitors, clients, and staff in a professional manner

  • Manage front desk operations, including answering phone calls and responding to emails

  • Schedule appointments and maintain calendars

  • Organize and distribute incoming and outgoing mail

  • Keep front office and common areas clean, organized, and presentable

  • Assist with basic administrative tasks and office support as needed

  • Maintain office supplies inventory and place orders when necessary

  • Ensure all visitors sign in and adhere to security procedures

Qualifications

Qualifications

  • High school diploma or equivalent required; associate degree preferred

  • Previous experience in an administrative or receptionist role is a plus

  • Strong organizational and multitasking skills

  • Excellent verbal and written communication

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

  • Professional appearance and demeanor

  • Ability to work independently and as part of a team

  • Attention to detail and a proactive attitude
