We’re seeking a detail-oriented and proactive Property Management Administrator to support our Property Management team and deliver a world-class experience to our commercial office tenants. This role blends accounting, administrative, and customer service responsibilities to ensure smooth and professional operations.
Key Responsibilities
Accounting & Financial Support
- Process accounts payable (coding, data entry, vendor communications).
- Manage accounts receivable: generate rent statements, process utility/work order billbacks, apply payments, and follow up via email on delinquencies.
- Assist with monthly financial reporting, accruals, A/R commentary.
- Contribute to budgeting, reforecasts, annual expense estimates, and CAM reconciliations.
- Assist with lender reserve requests and draw submissions.
Lease & Vendor Administration
- Interpret lease agreements and prepare lease abstracts for accurate billing/reporting.
- Maintain and update Yardi and Excel rent rolls.
- Manage lease documents, amendments, service contracts, and correspondence.
- Coordinate bid proposals and vendor agreements using internal templates.
Administrative & Tenant Services
- Maintain organized electronic and physical files for leases, financials, and property documents.
- Provide admin support for tenant/building improvement projects.
- Assist with tenant move-in coordination and welcome materials.
- Support facilitation of tenant service requests with management and engineering.
- Offer front desk and Tenant Coordinator coverage as needed.
- Support special projects as directed by the Senior Property Manager.
Communication & Customer Service
- Professionally greet and assist tenants, vendors, and guests.
- Answer/direct calls and inquiries; relay accurate messages.
- Build and maintain strong tenant, owner, contractor, and colleague relationships.
- Ensure timely response and billing for tenant service requests.
- Associate’s degree in Accounting, Finance, or Business required; Bachelor’s preferred.
- 2+ years of experience in accounting, finance, or administrative support (commercial real estate a plus).
- Proficiency with Microsoft Office (especially Excel).
- Familiarity with tools like AVID, MRI, Yardi, Kardin, or Argus.
- Strong attention to detail and ability to manage multiple priorities.
- Excellent communication skills and customer service mindset.
- Professionalism, discretion, and ability to handle confidential information.
- Tech-savvy and eager to learn new platforms.
Preferred Skills
- Experience with facilities/work order platforms (e.g., Angus Anywhere, Building Engines, MRI Workspeed).
- Knowledge of Smartsheet or similar tools.
- Understanding of GL accounting and variance analysis.
- Entrepreneurial mindset with a collaborative, solutions-driven attitude.
