Oversees the daily operational activities and functions of the Ralph Mark Gilbert Civil Rights Museum.
Oversees the safeguarding of museum collections and gift shop operations.
Provides administrative and programmatic assistance to the Executive Director.
Plans, develops, schedules, and coordinates events for the museum.
Ensures that all logistics and operational aspects of events and activities are communicated and fulfilled.
Supervises, directs, and evaluates museum employees, participates in the hiring process of employees, provides instruction and training, acts on employee problems and concerns, and counsels and disciplines employees.
Coordinates daily work activities, organizes, prioritizes, and assigns work, develops work schedules to ensure adequate coverage at the facilities, monitors status of work in progress, and inspects completed work.
Assists with the preparation and monitoring of museum budgets, and diligently follows approved financial policies and accounting ethics and financial best practices.
Consults with the Director and other officials to assist with reviews of facility operations and activities and problems and issues that may arise and provides recommendations to the Director for resolutions.
Assists with the development and implementation of operating policies and procedures, evaluates current procedures and practices, and researches and assists with implementation of improved procedures and practices.
Assists with the development and execution of marketing and publicity strategies for museum activities, exhibits, and events, including preparation of press releases, brochures, and flyers.
Assists with management of website content, social media, and positive relationships with the local and regional media.
Conducts staff meetings, confers with assigned staff, assists with complex/problem situations, and provides technical expertise.
Assists with oversight of all generated revenues, operational expenditures, and subcontracts, establishes facilities rental procedures and administers construction, maintenance, and custodial service contracts.
Oversees the implementation of contracts, internal and external correspondence, and invoicing.
Reviews event bills for accuracy and preparation for payment.
Oversees coordination of services for events, such as accommodation and transportation for participants, facilities, catering, special needs requirements, printing, and event security.
Analyzes information and evaluates results to choose the best solutions.
Arranges the availability of audio-visual equipment, transportation, displays, and other event needs.
Coordinates with staff according to scheduled events and activities to ensure customer satisfaction.
Communicates and coordinates regularly with appropriate staff and other personnel to maximize the effectiveness and efficiency of departmental operations and activities.
Inspects event facilities to ensure that they conform to customer requirements.
Provides oversight of event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
Maintains records of event aspects, including financial details.
Prepares and presents accurate and reliable reports.
Performs other duties as assigned.
Associate Degree in Business Administration, Museum Studies, History, Art, Hospitality Management, Marketing, or a closely related field; and
At least three (3) years of experience in facility administration and operations, preferably with historic sites and/or museums, event planning, working as program coordinator, or experience in a related field, including at least two (2) years of supervisory experience; or
Any equivalent combination of experience and training.
