Our client, a growing agency at the forefront of digital tech and financial services, is seeking a champion Executive Assistant to become an indispensable part of their executive leadership team and provide dedicated administrative support to their busy Founder. We’re looking for someone who thrives in a fast-paced environment, anticipates needs before they surface, and brings exemplary communication skills to every interaction. This role requires a proactive, hands-on professional with a high-touch approach to supporting top-tier executives.
The ideal candidate is highly organized, self-directed, and thrives on taking initiative. You’ll be trusted with a broad range of responsibilities that span daily operations, executive personal support, internal communications, and project coordination. This isn’t a task-by-task role—it’s about owning outcomes, streamlining workflows, and keeping high-performing leaders focused on what matters most. Experience working in a remote or hybrid setup is essential, as is the ability to juggle shifting priorities with professionalism and a solutions-first mindset.
We are seeking someone who will be a true long term fit as an Executive/Personal assistant.
Responsibilities include:
• Provide strategic and administrative support to the CEO and Founder
• Manage complex calendars and schedules with precision and foresight
• Coordinate internal communications and workflows using Slack and Google Workspace
• Track tasks and deadlines to ensure follow-through across departments
• Book and manage travel logistics, prepare itineraries, and handle meeting coordination
• Monitor and process expenses; assist with light bookkeeping and invoice tracking
• Support onboarding, benefits administration, and internal HR processes
• Liaise with vendors and external partners; assist with hiring coordination
• Collaborate with accounting on billing, payroll, and financial documentation
• Identify opportunities to streamline operations and improve internal systems
•Coordinate family and household scheduling as needed
•Assist with event planning for both professional and personal functions
•Communicate with and manage vendors (e.g., home maintenance, personal services)
•Research and obtain quotes for personal and household projects
•Handle occasional personal errands and ad hoc family-related tasks
Qualifications:
• Minimum 5 years of experience supporting C-level executives, ideally in a fast-paced or startup environment
• Demonstrated ability to take initiative, work independently, and manage multiple priorities
• Excellent written and verbal communication skills; clear, polished, and proactive
• High proficiency with Google, Slack, AI tools, and CRM
• Comfortable working remotely the majority of the time, with the ability to travel as needed
• Highly organized, detail-oriented, and solutions-focused with a strong sense of follow-through
Location: Fully Remote with ability to travel 1-2x a year. PST hours and flexible to work outside of “normal business hours”
Compensation: $75,000–$80,000 base + discretionary bonus
