Join our Accounting team as an Accounts Payable Clerk or Specialist, depending on your experience level. This is a great opportunity for someone who understands the importance of timely and accurate payments and thrives in a high-volume, fast-paced environment. YOUR ROLE

As an Accounts Payable Clerk or Specialist, you’ll play a key role in ensuring the accurate and timely processing of vendor invoices and expense reimbursements. You'll handle invoice coding, data entry, and final review before payments are issued, while managing vendor communications and maintaining up-to-date compliance documentation.

WHAT YOU'LL DO
  • Input and process 500–1500 invoices per month, depending on seasonal volume, across multiple business entities
  • Enter invoice data into the ERP system with a focus on accuracy and efficiency
  • Route invoices for internal approval based on job coding and monitor timely turnaround
  • Perform final review of invoice information before posting to ensure accuracy
  • Print and mail checks for approved payables
  • Respond to vendor inquiries regarding payment status
  • Follow up with vendors to request insurance certificates and endorsements; ensure records are up to date and compliant
  • Process employee expense reports and reimbursements based on vendor assignment
  • Maintain and update invoice data templates for specific vendors to improve upload efficiency
  • Monitor shared inbox daily and code invoices appropriately
  • Support process improvements and contribute to special projects as needed


WHAT YOU'LL NEED
  • Strong attention to detail and accuracy—especially when entering and reviewing large volumes of data
  • Ability to manage shifting priorities and stay organized in a fast-paced, interrupt-driven environment
  • Effective communication skills, primarily via email, for handling vendor interactions professionally
  • Proficiency with Microsoft Office tools (Excel, Outlook, Word)
  • Ability to work on-site at our Santa Ana office (this is not a remote or hybrid role)
  • Eligibility to work in the U.S. and availability for full-time work (Monday–Friday), with overtime as needed


NICE TO HAVE BUT NOT REQUIRED
  • Prior experience in Accounts Payable or Accounts Receivable
  • General data entry experience or background in a related role
  • Familiarity with ERP systems (e.g., Vista by Viewpoint) or accounting software such as QuickBooks
  • 10-key data entry proficiency
  • Strong time management skills when dealing with shifting deadlines and urgent tasks

$25 - $28.50 an hour
The reasonable compensation range for this position includes a new hire base hourly rate of $25.0028.00 per hour + comprehensive benefits + potential for a discretionary profit-sharing bonus.

Individual pay within this compensation range may span multiple levels within the role and is determined by assessing job-related skills, experience, and relevant education or training. It also factors in market demands and business needs. The disclosed range may be subject to change or modification based on business needs in the future.
