Position Overview

The Administrative Assistant plays a vital role in creating an exceptional experience for our team members through dedicated support, service-focused solutions, and a commitment to fostering a positive workplace culture. As a trusted partner to both team members and leadership, this role ensures the efficient processing of Los Angeles World Airports’ (LAWA) badging requirements while building strong relationships across the organization.

Core Responsibilities

  • Manage airport badging and CBP applications, from new hires, to renewals, to deactivations.
  • Work with HR department and account managers to ensure relevant points of contact are aware of candidates and/or employees' badge status from start to finish.
  • Accurate filing of badging records in personnel files.
  • Monitor general admin email in-box and respond to employee inquiries with regards to badging and related topics.
  • Perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence before ultimately distributing to relevant audience.
  • Translate from English-to-Spanish and from Spanish-to-English, either verbally or in writing.
  • Assist with bilingual onboarding, facilitating new hire orientation in Spanish.
  • Conducting research as directed by management for miscellaneous assignments.
  • Act as back-up to the HR Office Assistant as needed (i.e. coverage during lunch hours, sick days or vacation).

Required

  • Experience with exceptional customer service delivery
  • 1-2+ years of administrative assistant experience
  • Bi-lingual (English/Spanish)

Preferred

  • Experience with ATS and HRIS systems that enhance team member service delivery
  • Some knowledge of HR practices and employment laws

Skills & Competencies

  • Ability to speak, read and write in English and Spanish
  • Strong organizational and time management abilities with keen attention to detail and focus on team member satisfaction
  • Excellence in interpersonal communication with genuine commitment to confidentiality and building trust
  • Creative problem-solving abilities with focus on positive resolutions
  • Proficient computer skills, including Microsoft Office
  • Strong verbal and written communication
  • Possess professionalism, problem-solving and organization
  • Working knowledge of general office equipment
  • Comfortable with routinely shifting demands
  • High school diploma or equivalent

Working Conditions & Requirements

  • Part-time, in-office position with possibility to change to full-time (minimum 32 hours/week)
  • Office environment requiring prolonged periods at desk and computer work
  • Reports to Supervisor, HR Solutions

·        Pay range of: $21.00 to $22.50 per hour depending on experience
