About the Position:
The Administrative Assistant (Facilities Dept) provides clerical support for the Project Manager, Construction Manager, and Vice President of Facilities and Assets. They are responsible for a variety of functions including document processing and preparation, scheduling, data entry, reception and secretarial duties.

What You Will Do:- Produces weekly and monthly reports as required by Vice President of Facilities & Assets and Home Office.
- Handles phone calls and correspondence as required.
- Ensures that the facilities charge cards, and vendor accounts have adequate controls.
- Prepare purchase orders, expense request, travel itineraries, etc. for maintenance dept.
- Develop tracking systems as needed.
- Ensure all Home Office policies regarding money, expenditures, reimbursement timelines, etc. are followed.
- Act as facilities department purchasing agent for all expenditures.
- Establishes and maintains all general and facilities department filing systems.
- Assists in overseeing facilities department.
- Attend and participate in community activities, as appropriate.
- Performs a variety of administrative, secretarial and receptionist tasks for the project including, but not limited to, arranging itineraries, preparing agendas, arranging meetings, and composing correspondence and memos.
- Establishes and maintains files and records, which may include clinical or other confidential materials.
- Receives, screens and routes visitors, correspondence, and telephone calls.
- May attend committees or other meetings.
- May assist in research compilation and organization of statistical and narrative data for reports and proposals.
- Coordinate routine data entry of administrative information, which may include general faculty (staff) records and training.
- Manage the logistics of routine in-service trainings.
- Attend and participate in Amity community building functions.
- Completes other related duties as assigned.

- Possess good interpersonal, written, communication and typing skills.
