About the Role
This is a remote position where you’ll be the orchestrator behind an Early Medical Physician’s practice—much like a master concierge at a world-class five-star hotel. Your mission is to create such a seamless experience that the complex machinery of healthcare coordination fades entirely into the background, leaving only a sense of being exceptionally well-cared for.
As a Patient Concierge, you’ll combine the hospitality mindset of luxury service with the precision of healthcare—sending prescriptions, ordering tests, making referrals, and tracking tasks. You’ll work in concert with Executive Assistants and external partners, creating a frictionless experience where every patient interaction reflects the warmth, attentiveness, and flawless execution that defines world-class concierge service.
Your meticulous attention to detail and proactive approach—anticipating needs before they’re expressed—remove every barrier that might prevent physicians from delivering their best care. By masterfully managing the administrative landscape with the grace and discretion of a seasoned hospitality professional, you free our clinical team to concentrate exclusively on treatment decisions and meaningful patient relationships.

What You’ll Do
Success as a Patient Concierge means creating an invisible infrastructure of support that delivers two crucial outcomes: patients who feel informed and prepared at every step of their journey, and physicians who can devote their full attention to clinical excellence.
• Create a premium, responsive environment where patients feel incredibly supported – You’ll maintain consistent correspondence with patients, respond promptly to inquiries, and handle every interaction with a concierge-level of attentiveness. Your consistent presence creates a safety net that gives patients confidence their needs will always be met with warmth, professionalism, and the exceptional care that defines Early Medical.
• Orchestrate complex scheduling and logistics – You’ll coordinate patient visits, lab draws, and Zoom meetings while managing the physician’s calendar with precision. Your ability to navigate intricate scheduling challenges ensures patient care flows without interruption or friction.
• Anticipate and eliminate friction points – You’ll proactively identify potential issues before they arise, create solutions to recurring challenges, and smooth pathways for both patients and physicians before they encounter obstacles.
• Notice and correct errors with vigilance – Your keen eye for detail will catch discrepancies in documentation, scheduling conflicts, or process breakdowns, allowing you to quietly resolve issues before they impact patient care.
• Help physicians stay organized and focused – You’ll develop systems that keep physicians ahead of their responsibilities, prioritize their attention where it’s most needed, and create order within the complexity of modern healthcare delivery.
• Build and nurture vital external relationships – You’ll develop trusted connections with valued consultants and referral sources, becoming the reliable bridge that ensures seamless collaboration between Early Medical and our external partners.
• Ensure flawless follow-through on clinical directives – From processing prescriptions and managing lab orders to tracking test results and coordinating prior authorizations, you’ll create a closed loop system where nothing falls through the cracks.
• Fill gaps and drive innovation – You’ll identify opportunities to improve workflows, propose creative solutions to persistent challenges, and continuously refine our approach to patient coordination as Medicine 3.0 evolves.
• Maintain impeccable patient records – You’ll meticulously update patient charts, organize medication lists, and ensure all clinical documentation finds its way to the right team members at the right time, creating a foundation of information integrity.
How You’ll Spend Your Time
Premium Patient Experience Creation (30%)
• Creating a responsive, concierge-level support environment
• Anticipating patient needs and addressing them proactively
• Scheduling patient visits and coordinating lab draws with precision

• Resolving patient issues promptly and completely
Complex Logistics Management (25%)
• Identifying and eliminating potential friction points
• Coordinating with Executive Assistants on seamless scheduling
• Managing lab orders and vigilantly tracking test results
• Orchestrating workflows that help physicians and APP’s stay organized
Documentation and Information Excellence (25%)
• Maintaining impeccable patient charts updated in real-time
• Noticing and correcting documentation errors
• Uploading and organizing patient documents and results
• Ensuring critical information reaches the right team members at the right time
External Relationship Management (15%)
• Building trusted partnerships with valued consultants and referral sources
• Making referrals and ensuring nothing falls through the cracks
• Navigating external healthcare systems on behalf of patients
• Arranging specialized testing with attention to every detail
• Creating seamless transitions between Early Medical and external providers
Innovation and Team Enhancement (5%)

Experience and Skills
• 3-5 years in roles requiring exceptional service delivery and administrative excellence (luxury hospitality, executive support, or healthcare coordination strongly preferred)
• Bachelor’s degree or beyond
• Demonstrated proficiency with Microsoft Office Suite, Adobe, Electronic Medical Record systems, and Client Relation Management platforms
• Background in healthcare administration or patient-facing roles is highly valued but not required for candidates with exceptional service credentials
• Experience working in remote or virtual environments where self-management and digital communication are essential

Compensation
The salary for this role is set at $85,000-$100,000. Compensation is based on factors including geographic location, experience, skill set, and interview performance.
